Childcare Scheduling Requests
Childcare requests are submitted in eSpace as a needed service in congruence with a reservation request. All requests are approved by Gretchen Van and must be submitted with enough time for registrations to be completed one week out to the date when care will be provided. If a ministry is covering the childcare costs, then this Childcare Registration Form will be adjusted to include any dates and can be sent to potential registrants. If registrants will be paying themselves towards the childcare costs, then a separate form will be provided by Brittany Brown.
Childcare is provided in partnership with Trusting Connections and a care waiver must be completed in advance by any Casas Church user. Our registration form includes a link to the waiver but if you need to send it separately, please CLICK HERE.
Child-Work Approval & Renewal
We require all people volunteering in a capacity that includes minors, children 18 and under, to be child-work approved. In order to be approved, a potential volunteer must:
complete an application
provide 3 references (minors need to include a teacher as one of their 3 references)
pass a staff screening (via an email to staff where the opportunity is given to share any concerns on potential volunteers)
view a Kid-Safe training video and pass the coordinating test
pass a background check
complete a staff interview facilitated by the ministry area the applicant has chosen
attend Casas for a minimum of 6 months, as is required by our church insurance
*Minors that are 10 or older and volunteering with other minors must also complete a modified child-work approval process, which does NOT include the kid-safe video and test or the background check.
The staff interview needs to be completed by either a Pastor or Director using 1 of the 2 form options below:
Child-Work Approval LONG Interview - Use this form when you do NOT know the volunteer applicant or have known them less than 1 year.
Child-Work Approval SHORT Interview - Use this form when you have known the volunteer/intern applicant personally for at least 1 year.
A person’s approval status can be found in their CCB profile in the ‘About’ tab, in the ‘Privileges’ section. You can send this Serve with Minors Application to prospective volunteers you have recruited.
RENEWAL
A volunteer’s approval status is good for one year and then they must renew approval. A renewal process begins in the spring, lead by Brittany Brown in partnership with the ministries, for all previously approved volunteers who plan to continue to volunteer on a team or area with minors. This process is completed by August 31 and any volunteers who do not complete their renewal by that date will be removed from volunteering until they take action to complete the process. Renewal can also be completed outside of the scheduled renewal season if a volunteer decides after the fact that they’d like to volunteer again.
You can send this Serve with Minors Application - RENEWAL to volunteers whose approval has expired.

Additionally, any concerns you may have regarding a potential OR current volunteer can be addressed with Nichole.
APPROVAL-REQUIRED MINISTRIES & TEAMS
At this time the following ministries & teams require child-work approval:
Casas Kids, Creative Arts (all music & tech team members & Baptism Hosts), HSM, GO Short-Term Trip members, Guest Services - Campus Hosts & Welcome Center Hosts, MSM, Safety Team. Additionally, any interns for these ministries and teams will be required to complete the approval process and granted short-term approval based on the length of their intern commitment.
You can send this Casas Church Intern Application to potential interns. Instead of completing one of the above-listed staff interview forms, a specialized Intern Interview form will need to completed instead.
Church Membership
Request for Membership - This form will walk congregants interested in membership through the various steps required for membership approval. Once this form has been completed, applicants will be contacted by someone from our pastoral staff to discuss their questions and to grant final membership approval. The form needs to be filled out by each person requesting membership, as in the case of spouses desiring to become members.
Rental Vehicles
If you rent vans for the church or schools and are a driver of church rental vehicles or have volunteer drivers please fill out current screening forms and have volunteers fill out a form.
If you drive one of the church-owned work trucks please fill out a current screening form.
For the school please have your school bus drivers fill out the "Driver's Casas Approval Form" attached below (there is an extra form needed for commercial vehicles).
